Privacy Policy

Last updated: October 4, 2026

This policy explains what information Nuvixo CRM collects, how we use it, and the choices you have. We keep it short and in plain language.

Information we collect

Account information you provide when you sign up or set up your workspace, such as your name, email address, business name and billing details.

The content you add while using Nuvixo — clients, projects, tasks, time entries, invoices and files. This belongs to you; we process it only to run the service for you.

Basic usage and device data (such as log data and approximate location from your IP) that helps us keep the service secure and reliable.

How we use your information

To provide and operate the service, process payments, send important account and transactional emails, and provide support.

To improve and secure Nuvixo — troubleshooting, preventing abuse, and understanding how the product is used in aggregate.

Google account and Calendar data

Google sign-in is optional. When you use it, we receive basic Google account information, including your account identifier, name and verified email address, to create or identify your Nuvixo account and authenticate you. Signing in with Google does not automatically connect your calendar.

Each workspace member can separately connect their own Google account from Settings → Integrations. With your permission, we receive your Google account identifier and verified email address and store OAuth access and refresh tokens so the calendar connection can continue working without asking you to sign in for every meeting.

The Calendar integration requests the calendar.events.owned permission, which allows viewing, creating, updating and deleting events on calendars you own. Nuvixo uses this permission in your primary calendar to manage meetings scheduled through Nuvixo; it does not import your entire calendar or access your Gmail messages, contacts or Google Drive files.

We store the meeting title, description, start and end times, time zone, invitee email addresses, Google event identifier, meeting status, Calendar event link and Google Meet link, together with the related lead or client. We retrieve event details to refresh these meetings and their Meet links. We do not record meetings or collect audio, video or transcripts through this integration.

How Google data is used and shared

We use Google account and Calendar data to provide sign-in, identify your connected account, schedule meetings, generate Google Meet links, display meeting history, and update or cancel meetings when you request it. Creating, updating or cancelling a meeting sends its relevant details and invitee email addresses to Google, which is asked to send invitations and updates to the invitees.

Meeting details appear in the related lead or client contact history and can be viewed by workspace members with permission to access that record. Invitees receive meeting information through Google invitations. Treat meeting titles, descriptions and invitee lists as information that may be visible to the people you invite.

Our hosting providers process stored Google data only as needed to operate the service. We do not sell Google user data or use it for advertising, credit decisions or training general-purpose AI models. Our staff may access it only with your explicit permission for support, or where necessary for security or to comply with applicable law.

Nuvixo CRM follows the Google API Services User Data Policy, including its Limited Use requirements, in its use and transfer of information received from Google APIs. The policy is available at https://developers.google.com/terms/api-services-user-data-policy. These Google-specific limits apply alongside the other sections of this privacy policy.

Google data security, retention and your controls

Google OAuth access and refresh tokens are encrypted at rest in our database. Connections are associated with an individual member and workspace, and workspace permissions control access to meeting records. Communication with Google uses HTTPS.

You can select Disconnect in Settings → Integrations to remove the stored access and refresh tokens for your calendar connection in that workspace and stop further Calendar API access through that connection. The connected account identifier, email address and existing meeting history remain so records are preserved and the same account can be reconnected.

Disconnecting does not cancel existing Google Calendar events, delete meeting history or revoke the Google authorization for every workspace. You can also revoke Nuvixo access from your Google Account third-party connections settings at https://myaccount.google.com/connections. Events already created in Google Calendar remain until you or another authorized person deletes them.

Google account details and meeting records follow the account and workspace retention described below. To request deletion of Google connection details or locally stored meeting data, use the Contact us link on this page and identify the account and workspace concerned. Deleting local data does not automatically delete events or invitation emails held by Google or invitees.

Cookies

We use essential cookies to keep you signed in and to remember preferences such as your language. We do not use advertising or cross-site tracking cookies.

Sharing your information

We do not sell your personal data. We share it only with the service providers that help us run Nuvixo — for example hosting, email delivery and payment processing — and only as needed to provide the service.

We may disclose information if required by law or to protect the rights, safety and security of our users and the service.

Data security

We protect your data with encryption in transit and access controls. No method of transmission or storage is completely secure, but we work to protect your information and to respond quickly if an issue arises.

Data retention

We keep your information for as long as your account is active. You can request deletion of your account and associated data at any time, subject to legal and accounting obligations.

Your rights

You can access, correct, export or delete your data. You can export your workspace data from your account settings, or contact us and we will help you exercise any of these rights.

Changes to this policy

We may update this policy from time to time. When we make material changes we will update the date above and, where appropriate, notify you.
